We collect only what the admin team needs to deal with your request
Form information is not made public unless you specifically ask for suitable information to be published.
What we collect
Forms may collect your name, email address, Facebook profile name, message, links and any optional file you upload. A submission time and unique reference are added automatically. Limited technical information is used temporarily for spam prevention and rate limiting.
Why we collect it
The information lets the Open Caerleon admin team understand and respond to your enquiry, decide whether information is suitable for publication, and maintain a clear record of moderation-related correspondence.
Who can access it
Only authorised Open Caerleon admins can access form submissions and uploaded files through the protected admin area. We do not sell this information.
How long we keep it
Routine enquiries are normally retained for up to 12 months after they are closed. Information may be kept longer where reasonably needed to document repeated rule breaches, a complaint or a legal issue. This policy can be refined before the public launch.
Correction or deletion
Use the contact form and include your submission reference to ask for a correction or deletion. We will respond after taking reasonable steps to confirm the request.
Cookies and local storage
The public information pages do not use advertising cookies. Essential platform security or sign-in technology may be used for the protected admin area.
